
Policies & Academy Information

By enrolling at Verellen Music Academy, you agree to the policies outlined below. These policies are designed to ensure consistency, fairness, and high-quality lessons for every student. Registration confirms acceptance of these terms.
Attendance & Missed Lessons: Consistent attendance is required for student progress. Lesson times are reserved specifically for each student and cannot be reassigned on short notice.

A minimum of 24 hours’ notice by email is required for any absence

Lessons missed without proper notice are forfeited

Each student is eligible for 2 makeup lessons within any 90-day period

Makeup lessons must be used within 60 days of the missed lesson

Makeup lessons do not carry over, expire automatically, and cannot be banked

All absence and makeup requests must be submitted by email only
If travel conditions are unsafe due to weather, lessons will be moved online. Failure to attend the online lesson will be treated as a missed lesson.
Cancellation of Lessons: Lesson times are reserved in advance with a teacher, room, and schedule allocation. For this reason, notice is required when discontinuing lessons.

Immediate withdrawal results in a charge equal to 4 lessons

Prepaid semester or yearly tuition is non-refundable, as these options are discounted and reserve your lesson time for the full term.

Notice begins from the date the email is received
Breaks from Lessons: Lesson times continue to be reserved during any break period. For this reason, the same notice policy applies.

Requests for breaks are treated the same as cancellations. A minimum of 4 weeks’ notice by email is required to pause lessons

If an immediate break is required, the 4-week notice amount will still apply and will be applied toward your return month, ensuring your lesson time remains reserved and your spot is held on the schedule.
Payment Policies: We offer flexible payment options to suit different preferences. Monthly payments are processed automatically on the 1st of each month using a credit card on file. A credit card must be on file at all times if electing to use the month payment option

Tuition is based on 4 or 5 lessons per month

A 2.9% processing fee applies to all credit card payments
Semester or yearly payments may be made by e-transfer, credit card (2.9% fee), debit, or cash.

A $20 fee applies to any late payments (after the 1st of the month) or declined transaction
Lateness: Students are expected to arrive on time. Late arrivals reduce lesson effectiveness and disrupt scheduling.

Teachers will wait up to 15 minutes

After 15 minutes, the lesson is forfeited. Lessons will not be extended due to lateness
Holidays & Closures: Holidays are built into the tuition structure. If your lesson falls on one of the following dates, you will not be charged and no makeup is required.

Substitute Teachers: If a teacher is unavailable, a qualified substitute may be assigned to maintain lesson continuity. If a substitute cannot be arranged, the lesson will be rescheduled at no cost.
Supervision of Students: Parents and caregivers remain responsible for supervision outside of lesson time.

Students under 18 must be accompanied unless written consent is provided. The academy does not provide supervision before or after lessons
Media Consent: Enrolment includes consent for photos and videos to be used for academy-related purposes, including marketing and in-studio use.

Termination of Enrolment: Verellen Music Academy may discontinue lessons if continued enrolment is not a good fit. This includes disruptive behaviour, aggressive communication, repeated absences, or ongoing late payments. Where applicable, remaining prepaid tuition may be refunded at the academy’s discretion.
