Purpose
The safety and well-being of our students, staff, and families are our top priorities. This policy outlines the steps every teacher and staff member should follow to ensure a safe, respectful, and supportive environment at Verellen Music Academy (VMA).
1. General Safety Guidelines

Keep teaching rooms and walkways clear of tripping hazards such as cables, cases, and stands.

Immediately report any spills, broken equipment, or other hazards to management.

Ensure the front and back exits remain accessible at all times.
-
The first aid kit is located at the front desk.
2. Fire Safety and Evacuation Plan
-
In case of fire, remain calm and instruct students to exit quickly and safely.
-
Use either the front door or the back door as exits.
-
Our designated meeting point is in the student and staff parking lot next to the building.
-
Do not re-enter the building until authorized by emergency services or management.
3. Medical Emergencies
-
If you or a student are injured, assess the situation:
-
For minor injuries, use the first aid kit and notify management.
-
For serious injuries or medical emergencies (e.g., fainting, chest pain, heavy bleeding), call 911 immediately.

Notify parents or guardians as soon as possible.
-
Complete an Incident Report after any injury, regardless of severity.
4. Dealing with Dangerous or Aggressive Behavior
-
If a parent, student, or visitor becomes aggressive or threatening, prioritize your safety and that of your students.

Stay calm and maintain a neutral tone.
-
Avoid physical contact and do not argue.
-
If possible, move to a public area or exit the situation.
-
Notify management immediately.
-
If you ever feel unsafe or believe there is an immediate threat, call 911.

5. De-escalation Techniques
-
Keep your voice calm and even.
-
Acknowledge feelings (“I understand this is frustrating.”).
-
Offer simple, clear solutions.
-
Avoid interrupting or matching the person’s tone.
-
If the situation continues to escalate, remove yourself and alert management immediately.
6. Working Safely with Students
-
Never be alone in a closed room with a student. Keep doors open or ensure the window view is unobstructed.
-
Security cameras are installed in all teaching rooms to ensure everyone’s safety and protection.
-
No physical contact with students unless absolutely necessary for instruction (e.g., correcting hand position safely).
-
Be aware of student allergies, health needs, and emergency contacts (available through the front desk).
7. Mental Health or Home Conflict Disclosures
If a student discloses that they are going through a mental health crisis or conflict at home:

Listen calmly and without judgment.
-
Do not promise confidentiality — explain that you may need to share the information to ensure their safety.

Notify management immediately.
-
Management will determine if parents, guardians, or appropriate authorities should be contacted.
-
Do not attempt to counsel the student beyond supportive listening and ensuring they feel safe.
8. Building Security
-
Keep exterior doors closed and locked when classes are in session.
-
Do not allow unauthorized individuals into the building.
-
If someone walks in whom you don’t recognize:

Politely ask how you can help.
-
Do not leave students unattended.
-
Notify management or front desk staff right away.
-

Report any suspicious activity immediately.
9. Incident Reporting

An Incident Report must be filled out for:
-
Any injury (student or staff).
-
Any confrontation or aggressive behavior.
-
Any safety concern or unusual event.
-

Include:

Date, time, location
-
Individuals involved
-
Description of the incident
-
Actions taken
-

Submit the report to management within 24 hours.
